Policy & Refund

Transfer of Rider +
  1. Registration is personal and non-transferable unless a transfer is approved by the Organizer.
  2. Registration transfers may be requested up to 7 days before Race Day.
  3. Transfer requests must be submitted through the official Ride Asia communication channel and include the required details and documents for the replacement rider.
  4. The replacement rider must meet all applicable eligibility requirements, including age, category, licence, and any required medical or event requirements.
  5. The replacement rider must enter the same discipline and category unless otherwise approved by the Organizer.
  6. Once a transfer is approved, the original rider will no longer be entitled to participate under the transferred registration.
  7. Any difference in the registration fee must be settled according to the applicable entry fee. A lower registration fee does not automatically create a refund unless approved by the Organizer.
  8. Transfer requests will not normally be accepted after the registration change deadline, final start list lock, or race pack/bib issuance, except at the Organizer’s discretion in exceptional circumstances.
  9. Registration may not be commercially sold, resold, auctioned, or transferred for profit.
  10. The Organizer may reject a transfer request if the replacement rider does not meet the applicable requirements or if the transfer may compromise race administration, safety, or sporting integrity.
Refund Policy +
  1. Participants who cancel their registration through the official Ride Asia channel may be eligible for a refund of 50% of the registration fee paid, subject to the refund deadline announced by the Organizer.
  2. Refund requests must be submitted through the official Ride Asia communication channel before the published refund deadline.
  3. The refund is calculated based on the registration fee paid and does not include third-party charges that are genuinely non-refundable.
  4. No automatic refund is provided for participants who do not attend the event.
  5. No-show, late arrival, failure to complete required documents, or failure to meet applicable category requirements are not grounds for an automatic refund.
  6. Participants who choose an approved registration transfer are not entitled to a refund under the original registration.
  7. Refund requests submitted after the published deadline may not be accepted.
  8. Approved refunds will normally be returned through the original payment method, unless another arrangement is approved by the Organizer for administrative reasons.
  9. The estimated refund processing time will be communicated after the refund request has been reviewed and approved.
  10. This Refund Policy is a provisional Organizer policy and may be updated before the final registration terms are published.
Force Majeure+
  1. Force majeure refers to circumstances beyond the Organizer’s reasonable control that may affect the safety or operation of the event.
  2. Force majeure may include, but is not limited to, severe weather, natural disasters, emergencies, decisions by government authorities, unsafe venue conditions, or other circumstances that prevent the race from being held safely as planned.
  3. The Organizer may modify, delay, suspend, relocate, shorten, reschedule, or cancel a race, course section, competition session, or event activity when necessary for safety, public order, regulatory compliance, or operational reasons.
  4. Course and schedule changes may be made before or during Race Day based on actual conditions and the assessment of the Organizer, Race Director, Commissaires, technical officials, venue management, or relevant authorities.
  5. The Organizer will make reasonable efforts to communicate significant changes through the official Ride Asia communication channels as soon as reasonably possible.
  6. Participants must follow all official instructions relating to safety, revised schedules, course changes, race suspension, evacuation, relocation, or cancellation.
  7. If the event is rescheduled or modified due to force majeure, the Organizer will announce the applicable arrangements, including participant status, registration validity, race schedule, and other relevant event information.
  8. If the event is cancelled due to force majeure and cannot be rescheduled, any refund, credit, transfer, or other participant arrangement will be determined and announced by the Organizer based on the circumstances, applicable regulations, and the final decision of the Organizing Committee.
  9. Any costs already incurred by participants, including travel, accommodation, transportation, equipment, or other personal expenses, remain the responsibility of the respective participant unless otherwise required by applicable law or expressly announced by the Organizer.
  10. The Organizer may take reasonable emergency measures to protect participants, public safety, sporting integrity, and the safe operation of the event.
Event Cancellation +
  1. The Organizer may cancel the event when circumstances make it impossible or unsafe to hold the event as planned.
  2. Event cancellation may result from force majeure, government or authority decisions, unsafe venue or course conditions, public safety concerns, or other circumstances beyond the Organizer’s reasonable control.
  3. If the event is cancelled before Race Day, the Organizer will announce the cancellation through the official Ride Asia communication channels as soon as reasonably possible.
  4. If the event is cancelled, the Organizer will announce the applicable arrangements for participants, including registration status, race schedule, rescheduling arrangements, refund options, transfer options, or other applicable measures.
  5. If the event is cancelled and rescheduled, the Organizer will announce whether existing registrations remain valid and whether any participant action is required.
  6. If the event is cancelled and cannot be rescheduled, any refund, credit, transfer, or other participant arrangement will be determined and announced by the Organizer based on the circumstances, applicable regulations, and the final decision of the Organizing Committee.
  7. Participants are responsible for checking official Ride Asia communication channels for cancellation notices and subsequent instructions.
  8. Any participant costs already incurred, including travel, accommodation, transportation, equipment, or other personal expenses, remain the responsibility of the respective participant unless otherwise required by applicable law or expressly announced by the Organizer.
Registration Change +
  1. Participants may request changes to their registration details before the applicable registration change deadline announced by the Organizer.
  2. Registration changes may include participant details, category, discipline, team or club information, licence information, or other registration data permitted by the Organizer.
  3. All registration change requests must be submitted through the official Ride Asia communication channel.
  4. Changes to participant identity, category, or discipline are subject to eligibility requirements and approval by the Organizer.
  5. A category change does not automatically guarantee eligibility. The participant must meet the age, category, licence, and other applicable requirements for the requested category.
  6. Changes that affect the registration fee may require payment of the applicable fee difference. A lower registration fee does not automatically create a refund unless approved by the Organizer.
  7. Registration changes may no longer be accepted after the final start list is locked, race pack or bib issuance has begun, or other operational deadlines have passed.
  8. The Organizer may reject a registration change if it cannot be accommodated administratively or if it may affect participant eligibility, race administration, safety, start list preparation, or sporting integrity.
